JOB DESCRIPTION

JOB TITLE: COURT COORDINATOR I
                       FIRST APPEARANCE COURT
                        DOMESTIC VIOLENCE DIVISION
LOCATION: 555 W. HARRISON, CHICAGO, ILLINOIS

GRADE:        16
SALARY: UNION ENTRY RATE: $64, 075

The Court Coordinator reports to the Presiding Judge and/or Court Administrator in which the position resides.

JOB SUMMARY AND DUTIES :

 
  • Provide staff support to multiple courtrooms and multiple Judges assigned to the dual call and/or split call for the criminal courtrooms hearing First Initial Court Appearance, Felony Call, Detention Hearings, Condition Hearings, Warrants, Hospital Mittimus, etc.
  • On a daily basis and throughout the day coordinate with courtroom stakeholders and courtroom personnel directly to facilitate order of cases called for time management purposes. 
  • On a daily basis check and throughout the day coordinate with all courtroom stakeholders to efficiently split the court call between dual courtrooms.
  • Facilitate interpreter cases.
  • Look up each case on the daily court call and fill in a brief summary explaining why each case is up for the Judge.
  • Check each case on the daily docket in advance of the call.
  • Prepare court orders for the Judge, when necessary or required at the Judge’s behest.
  • Keep track of multiple party and/or complex cases and mark on Judge’s sheet (notify Judge in advance).
  • Answer phones and redirect calls to the appropriate resources
  • Direct pro se litigant’s questions to proper departments.
  • Answer inquiries from Police Department, Sheriff’s Department, State’s Attorney, Public Defender, Adult Probation, Social Service, Court Reporters, Court Interpreters, and other departments.
  • Restock all form orders in the courtroom.
  • Participate in Office of the Chief Judge staff meetings and other meetings as required and assigned.
  • Assist the Court Administrator in the periodic review of the courtroom, protocol, and procedures.
  • Post weekly judicial assignment sheet.         
  • Monitor the BPM tool to assist in court preparation of daily call and for splitting of cases between two courtrooms.
  • Performs other duties as assigned by the courtroom Judge, Presiding Judge, Court Administrator and/or Supervisor.

MINIMUM QUALIFICATIONS :
• High school diploma or GED required.
• Ability to interact and/or associate with employees and the public in a pleasant, courteous and helpful manner.
• Excellent communication and organizational skills.
• Ability to be flexible and productively respond to change.
• Ability to work collaboratively.
• Ability to maintain calm and professional demeanor under pressure.
• Excellent computer and typing skills.

PREFERRED QUALIFICATIONS :
  • Bilingual (English and Spanish) preferred.
  • Associate’s degree or higher from an accredited college or university preferred.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS :
• On a continuous basis, sit at a desk in front of a computer screen, for long periods.
• Intermittently twist to reach equipment or supplies surrounding desk area.
• Perform simple grasping and fine manipulation.
• Strength to lift files weighing up to 20 pounds.
• Use telephone and computer keyboard on a continuous daily basis.
• Walk and/or use the elevators between any and all floors of the courthouse.
• Available to work in person 100%.
