Job Summary

Purvis Gray is seeking a dependable and detail-oriented Administrative Assistant to provide essential administrative and clerical support to our Gainesville office. This role handles daily operations, including document management, vendor coordination, and basic bookkeeping. The ideal candidate will be highly organized, resourceful, and capable of multitasking in a fast-paced professional environment while maintaining a positive, customer service-focused attitude.

Key responsibilities include but are not limited to:

  • Handle incoming and outgoing calls with clients, vendors, and company contacts as needed.
  • Monitor and replenish office supplies, event materials, and sponsorship inventory.
  • Coordinate workspace layout and office furniture needs.
  • Coordinate any vendor needs
  • Perform data entry, scanning, photocopying, and filing of various document types.
  • Verifying documents, and other clerical support functions, as needed
  • Handle incoming and outgoing mail.
  • Perform general bookkeeping duties, including posting information to accounting software, distributing invoices, and ensure receivables are collected timely.

Skills & Qualifications:

Required

  • Associate or bachelor’s degree.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Strong written and verbal communication skills.
  • Highly organized and efficient with strong attention to detail.

Preferred

  • Experience in a professional services environment.
  • 2+ years of experience in administration, operations, or office management.
  • Familiarity with firm-specific systems.
